Many organizations are asking how they can best leverage artificial intelligence (AI) to increase team productivity and make smarter, faster business decisions. Microsoft Copilot has been adopted by early adopters for its ability to bring clarity, update teams faster, and generate new ideas. This is a game-changer for individuals in the workplace. But for teams, the conversations that take place in meetings are the building blocks of strategy, action items, and decisions. How do you capture key insights and findings from team discussions and follow up effectively?
The answer is simple. Teams Rooms lets you enable Copilot in every room. The biggest users of Copilot to date have been those using Copilot in Teams. * When asked how it affected their daily workflow, 70% said they were more productive, 84% said it was easier to take action after meetings, and 79% said their administrative workload was reduced. Copilot in Teams lets you ask specific questions, seek clarification, summarize perspectives expressed during a meeting, and quickly organize meeting tasks. All of this is based on responses taken from meeting transcripts.
To utilize the full potential of Copilot in Teams for hybrid meetings, it is important that all participants maintain a unique identity during these meetings, regardless of location. This is where Teams Rooms devices play a pivotal role.
Maintain your identity in meetings
The most important input to Copilot in Teams is the identity of each presenter. Copilot requires a meeting transcript that includes all presenter attributes to convey meeting summaries, insights, and action items. In hybrid meetings without speaker recognition, the video and audio feeds of the people in the room are attributed to the room (e.g. Room 1) rather than to the individual speaking, making it difficult to query individual contributions and summarize everyone's perspectives. , take care of your to-do items.
Teams Rooms devices use advanced technology called speaker recognition to analyze each speaker's unique voice characteristics, including pitch, tone, and speaking style, and create a voiceprint for each participant that resembles a fingerprint of the voice.
Speaker included Awareness, Team Room Identify speakers during live recordings in shared meeting rooms to ensure clear and accurate voice capture for all participants. This makes it easy to track who said what during a meeting with intelligent meeting summaries and Copilot.
To enable speaker recognition for your employees, you can set up voice profiles in minutes using the Teams desktop app. Each person receives a unique voice signature stored securely in your organization's tenant in the Microsoft Cloud, ensuring every contribution is accurately captured in every meeting, enabling Copilot and intelligent meeting summarization, and helping drive action.
Intelligent speakers optimize recording precision
Speaker recognition is currently enabled with intelligent speakers certified for Teams. The intelligent speaker is designed using multiple microphones to deliver high-quality audio, maximizing recognition and recording accuracy and reducing “word error rate” to industry-leading levels.
That said, not all Teams Rooms have intelligent speakers yet. That's why we announced at Ignite last year that speaker recognition would soon expand to existing hardware. While we're excited to expand our speaker recognition capabilities to more conference rooms, it's important to note that the quality may not match that of our intelligent speaker devices. It is therefore essential to evaluate the benefits of integrating intelligent speakers, especially in critical spaces where achieving the highest quality transcription and attribution is important.
Get smarter insights, actions and decisions from your meetings
For many of our customers, it's difficult to gain key meeting insights, track decisions, and effectively manage action items while using time and resources efficiently. By connecting Copilot with your Teams Rooms devices, you can ask questions in natural language about your hybrid meeting details and participants and get instant answers and insights.
Imagine you are participating in a hybrid meeting with a mix of in-person and remote participants. It's important to lead the discussion and make sure everyone is on the same page. Simply prompt Copilot in Teams to “Summary the main points of today’s discussion.” Powered by Teams Rooms devices, Copilot instantly edits highlights and maintains the identity of each presenter even when they are in the room, ensuring a seamless experience for all participants, whether in person or remotely.
AI will have an impact beyond Copilot, making it visible, heard, and recognized for everyone.
Attending hybrid meetings and being able to see everyone in the room more clearly and intelligently can be challenging. This is especially true when there are multiple participants in the same physical space. How do I ensure that remote participants can see the faces and expressions of participants in the room, and that the camera continues to frame participants as they move around the room?
When someone in a physical conference room speaks, IntelliFrame uses intelligent camera technology to capture every facial expression and gesture to focus on online attendees. It's like having a skilled camera assistant focusing on each speaker. Intelligent cameras and speakers certified for Teams, integrated with speaker recognition and Copilot, enhance meetings and create immersive conversational experiences for everyone, regardless of location. Additionally, creating a recognition profile for IntelliFrame allows the camera to identify and label meeting participants, enriching your meetings. Combined with speaker recognition and Copilot, it boosts engagement and team cohesion, ensuring smooth and productive meetings for everyone.
